Data Privacy Policy

Principles

  • It is important that we protect the Personal Data we collect and we always aim to process Personal Data (whether it be that of an employee, customer, supplier or other Third Party, such as a visitor) in line with legal requirements, best practice and individual expectations.
  • Data privacy laws and regulations can vary in different countries, so this policy also helps us make data privacy compliance integral to the way we conduct our business globally, gives us a robust internal data privacy regime and establishes a consistent, minimum standard of handling Personal Data.

We

  • tell individuals if we are Processing their Personal Data. We explain what Personal Data we are using, why we need it and what we will do with it;
  • let individuals know and ask for necessary permission if we need to use their Personal Data for another purpose than the one we originally collected it for;
  • keep Personal Data accurate and up-to-date and we do not collect any data we do not need;
  • keep Personal Data in a form which permits identification of individuals for no longer than necessary for the purposes for which the data is processed. Retention policies must be followed and data destroyed properly (for hard copy and electronic data);
  • take appropriate steps to protect the Personal Data we hold with consideration to the nature of the data and the potential effects of losing it. We also make sure our Third Parties treat the data with the same care;
  • always check if restrictions apply when transferring data from one country to another. If they do, we check whether any control mechanisms are in place (such as intra-group agreements);
  • provide access to an individual's data if they request it. We also need to change any factually incorrect data where requested. We have internal procedures to action such requests; and
  • read the introduction to our Code and Group Policies to understand to whom they apply and the consequences for breaching them.

Leaders

In addition to the general expectations of leaders set out in the introduction to our Code and Group Policies, leaders:​
  • always question why Personal Data is being collected and used, and encourage the collection of limited and relevant Personal Data only;
  • report any breaches of Personal Data Processing through the internal procedures immediately; and
  • do not ask for Personal Data to be processed or disclosed if there is no legitimate business reason or if such Processing or disclosure would place a colleague, or the Company, at risk of breaching privacy legislation.
